Appendix A: Upgrading to the Latest Version of Bookends
Since Bookends database files include both reference information and programming instructions, when upgrading it is necessary to transfer the references from the older databases to the newer one.
Upgrading from one version of Bookends to another
When you receive a new version of Bookends Plus, you need to:
• Replace the Bookends Plus (or older versions of Bookends, such as Pro or Web) and Format Bank files on your hard drive with the ones on the new Bookends disk.
• Copy the new Database Master to your hard drive. For each database that you need to update:
® Make a copy of the new Database Master .
® Open the new database by double-clicking on it.
®Use Transfer References/Formats from the Utilities menu to transfer All references and the Journal Glossary, Formats, and Search Strategies from the old database to the new database. Check the Transfer Labels button only if you have changed the standard category labels in your old database (otherwise, leave this unchecked). If you want the unique reference IDs to be transferred to the new database, check the with unique ID number "box. If you want existing Lists (Authors, Editors, Keywords, Journals) to be transferred, check the Update Lists button (otherwise, leave this unchecked).
• Rename the new database appropriately and throw away the old database (you may want to archive it on a backup disk).
® Throw away the old database and rename the new database appropriately.
+ It’s very important that each database file is the same version as the Bookends Plus application. Always update each database when you upgrade to a new version of Bookends Plus. Replace the old version of the Bookends Plus file; don’t keep two different versions of Pro on your hard drive.
Upgrading from Bookends Mac to Bookends Plus
References can be transferred from older versions of Bookends (Bookends Mac) to Bookends Plus. Because of extensive internal changes in Bookends, the Journal Glossary, Search Strategies, and Formats cannot be transferred.
When you update from Bookends Mac to Bookends Plus you need to:
• Transfer the Bookends Plus application and the Format Bank to your hard drive from the new Bookends disk (throw out the old Format Bank and replace it with the new one).
• Copy the new Database Master file to your hard drive. For each database that you need to update:
® Open the database stack you want to update.
® Select Choose… from the Bookends menu.
® Click on the Choose All button.
® Select Export Matches… from the Bookends menu.
® Export the references as a Bookends Mac file (with styles).
® Make a copy of the new Database Master.
® Open the new database by double-clicking on it.
® Select Import References… from the File menu.
® Once the references have been imported, Compact the new database, throw away the old database stack, and rename the new database appropriately.
